An AI travel agent is software that plans a trip around your real constraints, checks live prices and availability, and books only what you approve. On WhatsApp, all of that happens in one chat. You message it like you would a friend, it replies with a few priced options, and when plans change you reply in the same thread.

What is an AI travel agent?

An AI travel agent (also called an AI travel assistant or personal travel assistant) does three jobs a search box does not:

  1. It works from your constraints. Who is coming, budget, dates, travel time and what you never want again.
  2. It does the checking. Train times, free rooms, opening hours and the total price.
  3. It acts with your permission. It books only after you say yes to a clear total, then stays to adjust the plan.

Travellers are halfway there. Nearly four in ten U.S. travellers used generative AI to research trips in the past 12 months, up 11 points in a year (Phocuswright, November 2025). The last step is harder. In Phocuswright's multi-country research, only about one third of travellers fully trust GenAI responses, and between a quarter and a third are ready to let an AI assistant book for them (Phocuswright, Chat, Plan, Book).

Why plan a trip on WhatsApp?

Because people already talk there. In a Kantar survey for Meta of 11,056 adults in 22 markets, from the U.S. and U.K. to India, Brazil and the UAE, 73.3% said they prefer messaging when they contact a business, and 75.1% want to message businesses the way they message friends and family (WhatsApp Business, State of Business Messaging). In an eviivo survey of 430 travellers worldwide, 58% preferred SMS, WhatsApp or email links for quick exchanges with accommodation providers (eviivo, November 2025).

A chat also suits trip planning:

  • No new app. Your travel companions probably have WhatsApp already, so you can forward options to the family group.
  • The thread is the plan. Options, booking and changes sit in one place.
  • No hold music. In the same Meta research, 69% of consumers said waiting on hold is a waste of time.

How an AI travel agent on WhatsApp works, step by step

This is the flow Hey Ula follows, and any good AI travel agent should work similarly.

1. Send a first message

Write as you would to a friend who is good at planning: "Free weekend 14 to 15 November, two adults and a six year old, from London, £350 all in, trains only." A good agent asks one short question if something important is missing, rather than guessing.

2. Set up your Travel DNA once

You pick one. The agent repeats exactly what it will book and the total, then waits for your yes. No yes, no booking.

5. Adjust in the same chat

Rain on Sunday, a cancelled train, a child with a temperature. You reply in the same thread, and the agent changes the part that broke and leaves the rest alone.

A sample WhatsApp exchange

The family: two adults, Priya and Sam, and Noah, aged six, starting in London.

Illustrative example. This is a made-up conversation to show the flow. The places are real, but prices and travel times are examples, not quotes, and real messages may look different.

You: Hi Ula. Free weekend 14 to 15 November. Me, Sam and Noah (6). From London, trains only, back by 6pm Sunday. £350 all in.

C. Oxford. About 1h by train. £295. Parks, a river walk and a covered market. Trade-off: fewer rainy day options for a six year old.

I left out Cornwall: too far for one night with a 6pm return.

You: B please.

Ula: Brighton, Saturday 14 to Sunday 15 November. Family room with breakfast, plus return trains for two adults and one child. Total £335, free cancellation until 12 November. Shall I book it?

You: Yes.

Ula: Done, it's booked.

You (Saturday evening): Forecast says rain tomorrow morning. Can we change Sunday?

Ula: Sure. Aquarium in the morning, pier and lunch in the afternoon if it clears. Room and trains stay the same. Still back by 6pm.

The same brief works wherever you live; only the local maths changes. A family in Sydney with AUD 600 might weigh the Blue Mountains, the Southern Highlands and Kiama. A family in Singapore with SGD 700 might compare Bintan, Malacca and Desaru. Friends in New York with USD 800 might pick the Hudson Valley or Philadelphia. All illustrative.

What to check before you trust an AI travel agent

Messaging makes it easy to chat with anyone, so check who is on the other end. In the Meta research, 79.3% of consumers said they need proof a business is legitimate before engaging. Ask these questions of any service, Hey Ula included.

Privacy: what does it keep, and who can read it?

  • What is stored, and how do you delete it? "No long hikes" is low risk. Passport and payment details need much stricter handling.
  • How do business chats work on WhatsApp? Not always like a chat with a friend. When a business uses Meta's Cloud API, your messages travel encrypted to Meta's service, which decrypts them and passes them to the business. Meta says it keeps that data for up to 30 days and does not automatically use it for ads (Meta for Developers). That is normal, but it means the business's own privacy policy matters.
  • Is it specific? In Twilio's 2025 survey of 7,640 consumers in 18 countries, 61% said they don't believe brands use their data in their best interest, and 84% want control over their personalisation settings (Twilio, June 2025). Vague answers are a warning sign.

Payments: do you see the full price first?

  • Totals, not teasers. One total in your currency, including mandatory fees, before you agree. Regulators agree. Since 12 May 2025, the U.S. Federal Trade Commission has required anyone advertising hotel and short-term rental prices, travel agents included, to show the total price upfront (FTC). In the U.K., hiding unavoidable fees until later (drip pricing) has been illegal since 6 April 2025 (CMA).
  • No card numbers in chat. Ask how payment works. Pay through a secure payment step you recognise, never by typing card details into a message.
  • Cancellation terms first. The free cancellation deadline belongs in the same message as the price.

Approval: does it wait for your yes?

  • It restates the booking. What, when, for whom, the total and cancellation terms. Then it waits.
  • Nothing is booked by default. If an agent can spend without asking, you should have switched that on yourself, with your own cap.

Human fallback: who helps when it goes wrong?

  • Does it say it is AI? In the same Twilio research, 54% want to know when they are talking to AI, not a human.
  • Who is the booking with? The hotel, the rail operator or a platform. That decides who handles refunds.
  • How do you reach a person? Strikes and medical issues can need a human. In the eviivo survey, 25% of travellers would rather speak to a person, as long as follow-up is prompt. Find out before you travel.

In short: do it yourself if you enjoy it or the trip is unusual. Use a booking app when you know exactly what you want. Use ChatGPT for ideas. Use an AI travel agent when you know your constraints and want the trip found, booked and adjusted without the tabs.
